Booking Conditions

The following conditions apply to all tours and safaris operated by L & A Safaris and Training CC.

Here in after referred to as the “Tour Operator”.



Acceptance of the booking conditions


The tour operator undertakes to provide all services offered subject to the booking conditions, stated here in, which booking conditions the tour member duly accepts on payment of the required deposit for their selected tour or safari. The tour member acknowledges that he / she has voluntarily applied to participate on their selected trip.


The tour member certifies that he / she is 18 years or older, as well as agrees and acknowledges that they have acquainted themselves with the booking conditions here under stated and the effect here of, as far as it is related to him / her and agrees to be bound hereby.



Tour Prices


The “tour price” for purposes of any tour or safari, shall be the price ruling at the time of confirmation by the tour operator to the tour member of its acceptance of the tour member’s application for a particular tour or safari. As a result of unforeseeable changes of available accommodation, air ticket prices, etc, the tour operator reserves the exclusive right to change the price of a specific tour or safari. This may only occur before the final quote has been accepted by the tour member or payment thereof.



Reservations & Payment


Confirmation of a tour or safari reservation is subject to the receipt by the tour operator of the tour member’s 10% non-refundable “reservation / spot” deposit. This payment is required for a tour member to secure their place or their booking party’s place on their selected tour or safari. A further 30% deposit is required 180 days (± 6 months) before the tour or safari commencement date. The balance of the tour or safari price shall be paid no later than 90 days (± 3 months) prior to the tour or safari commencement date. In the unlikely event of a reservation being made less than 90 days (± 3 months) before the tour or safari commencement date, payment of the full price will be required at the time of booking.


The tour operator will confirm the tour members’ holiday on receipt of the 10 % non-refundable “reservation / spot” deposit. This confirmation will be addressed to the party leader who confirms they have the authority on behalf of the booking party to make a booking and accept these booking conditions on behalf of everyone in the booking party.


Form of Payment


We offer secure and flexible payment options. Payment can be done either through a bank transfer or by means of Visa or Master debit / credit cards with our secure PAYGATE facility, this after the tour member takes into account the exchange rate on the day of payment, as all our tour & safari package prices are calculated and sold in South Africa’s currency (Zuid Afrikaanse Rand - ZAR / South African Rand or Rand).




Refunds are processed either through a bank transfer to the original bank account from which payment was made or the credit card(s) originally used for payment.



Comprehensive Travel Insurance


Missing out on your holiday is bad enough, however losing the money you paid is even worse. We highly recommend you take out a comprehensive travel insurance.


All tour members are responsible for procuring their own comprehensive travel insurance cover, not necessarily limited to and including cover against cancellation; the curtailment of stay, and / or unscheduled extension of stay, restructuring of a tour or safari; loss or damage to luggage, personal effects, money or documents; death or disablement, personal injury and medical expenses.



Cancellations, Rescheduling & Replacement


The tour operator reserves the rights to cancel the reservation should payment not be received within the periods specified. If a tour member wishes to cancel a tour or safari, notice of such cancellation must be made in writing directly to the tour operator. In the event of the tour member’s failure to give notice of their cancellation of a tour or safari, will result in forfeit of any monies been paid to the tour operator. Since we incur costs in cancelling your travel arrangements, the following cancellation charges will apply:


  • More than 75 (Seventy-five) days before the tour or safari commencement date - forfeiture of deposit.

  • 75 (Seventy-five) days and less of the tour or safari commencement date - forfeiture 50% (fifty percent) of the tour price.

  • 60 (Sixty) days and less before the tour or safari commencement date - forfeiture 100% (one hundred percent) of the tour price.


Illness or Absenteeism


In the event of a tour member’s withdrawal from a tour or safari after commencement for reasons of illness, he / she should obtain a medical certificate in support of any insurance claim. The tour operator shall not be liable to make any refunds for tour members’ absence from a tour or safari.


Force Majeure


The tour operator cannot accept liability or pay any compensation where the performance of its obligations to the tour member is prevented or affected, as a result of unavoidable and extraordinary circumstances, meaning a situation which is beyond the tour operator’s control. The consequences of which could not be avoided even if all reasonable measures had been taken. Such situations (whether actual or threatened) are likely to include war, riots, hostilities, political unrest, industrial disputes, adverse weather conditions or other circumstances amounting to force majeure. As a result, the tour operator reserves the right to cancel any tour or safari within its absolute discretion. If so, the tour operator offers the tour member without delay the choice of alternative travel arrangements, at least comparable in standard and as soon as it is safe for the tour member to travel.


Unscheduled Extension


In the unlikely event of there being an unscheduled extension of a tour or safari, as a result of flight delays, bad weather, strikes or any other cause reasonably beyond the tour operator’s control, the expenses relating to such an unscheduled extension, rescheduling or restructuring of the tour or safari, are for the tour member’s account. The tour member is accordingly advised to insure against such an eventuality.


Non-operation of Scheduled Escorted Small Group Tours


Our scheduled escorted small group tours or safaris are based upon a minimum number of participants. The tour operator therefore reserves the right to cancel tour or safari bookings due to insufficient demand. In the unlikely event thereof, the cancellation as well as the tour member’s notification for alternative touring options will be done no less than 180 (one hundred and eighty) days prior to the tour or safari commencement date. Please take note that the tour operator will not be held liable for any costs relating to the cancellation of the tour member’s airline tickets, as we recommend that tour members purchase their own international flights (not included in any packages) no earlier than 180 (one hundred and eighty) days prior to the tour or safari commencement date. This will not apply if the tour member has been informed by the tour operator in writing that their selected tour or safari will definitely depart as scheduled.


Tour Member Replacement


A tour member can transfer their booking to another person who satisfies all the conditions applicable to this contract by giving the tour operator notice in writing as soon as possible and no later than 7 (seven) days before the tour commencement date. However, please take note that some of our tour or safari packages include local / regional flights and that the name changes to airline reservations could be subject to full cancellation and / or rebooking fees, as per that specific airline’s policy. The tour member must also understand that such a name change may not be possible and that he / she will be responsible for the costs and / or charges that the tour operator incurs in making the transfer.


Other Reasons


Other than for the reasons stated above and in the event there of, the tour operator shall in its exclusive discretion consider any refund and if so, shall calculate as stated in the above cancellation charges.



Responsibility / Liability / Indemnity


The tour operator shall be responsible to the tour member for supplying the services and facilities described in the itinerary of the particular tour or safari selected by the tour member, to the best of their ability. Except where such service and / or facility reasonably cannot be supplied due to delays or other causes of whatsoever nature beyond the control of tour operator. In such circumstances, the tour operator shall endeavor to supply comparable services, facilities and itineraries, strictly subject to availability.


All baggage and personal belongings are at all times the tour member’s own risk. It is essential that tour members arrange their own baggage insurance.


The carriers at airports, hotels, golf clubs, and other suppliers who provide services and facilities to tour members are independent contractors and are not agents, employees of the tour operator and at no stage deemed to be agents or employees of the tour operator.


Tour members participating in sporting activities and who use sports facilities, do so at their own risk.


The tour member hereby agrees to abide by the rules and bylaws relating to members and visitors at any of the golf and / or country clubs visited during the course of a tour.


The tour operator will not be held responsible for any negligent and / or criminal conduct by third parties.


Where the tour member occupies a motor vehicle, he / she shall be required to comply with the laws relating to the use of such vehicle and the tour operator shall not be liable for any injury, illness or death or for any damages, theft or claims whatsoever arising from or in connection with any accident or incident relating to the use of such vehicle.


The tour member understands that he / she must be physical fit and able to participate on Safari4Africa tours or safaris, and currently they have no known physical, medical or mental condition which would impair their ability to participate on one of the tour operator’s tours or safaris and he / she is willing to assume all risks that may be created, directly or indirectly, by any such condition.


The tour operator shall not be held liable or be responsible for any death, injury or illness, resulting from a tour member participating in / on any tour or safari and the tour member indemnifies and holds harmless the tour operator for any damages arising from any such death, injury or illness.



General Conditions




Each tour or safari itinerary stipulates clearly what is included, as advertised on Safari4Africa website, as well as indicated in the final tour quote and itinerary issued to tour member. Safari4Africa guarantees no hidden costs.


Final Itinerary


The final itinerary will be available to the tour member after the full deposit has been received by the tour operator. As stated under “Reservations & Payment”, the full deposit will be due 180 days (± 6 months) before the tour or safari commencement date.




All local tourist guides / tour managers and hosts speak English. Escorted tours are conducted (commentary and instructions) only in English. For maximum enjoyment and understanding, the tour member must be able to understand, speak and read English.


Minimum Age


The minimum age for a tour member on any of Safari4Africa scheduled escorted small group tours or safaris is 18 (eighteen) years old. We recommend a minimum age of 12 (twelve) on any of our other private, personalised (customized), self-drive or golf tours and safaris, as the minimum age for game drives in Kruger National Park and other game reserves that the tour member may visit is 12 (twelve) years old. All children under 18 (eighteen) years of age must be accompanied by an adult.


Please take note that some countries in southern Africa have adopted practices to prevent international abductions of children. If a person under the age of 18 (eighteen) will be travelling with an adult other than his / her parents, or with only one parent, a notarized letter written by the parents, or non-travelling parent, granting authorisation to travel, including the dates of travel should be carried, as well as a certified copy of the child's unabridged birth certificate.


Touring Vehicles


All our air-conditioned touring vehicles are top quality, comfortable and well maintained. They carry the required transport permits and necessary insurances.




All accommodations are hand-picked and have been selected for their comfort, charm, good service, value for money and most importantly, their great touring location.


All rooms are either standard double or twin-bedded (two single beds) with private en-suite facilities, unless the tour member has specifically requested and paid for an upgraded room category. Room selection in all cases, unless otherwise reserved, is strictly at the discretion of the hotel's management on a run of house basis. Special requests such as bed types, smoking preference and connecting rooms are subject to availability. All accommodation establishments rates are based on Safari4Africa agreements with its suppliers and are not negotiable. Check-in time is generally not before 15h00 and check-out time is normally before 11h00. If necessary, the tour operator reserves the right to make substitutions with accommodations of equal standard. There will be no refunds for any difference in the cost of those accommodations.




 All included meals as specified on each tour or safari itinerary are based on the hotel's or restaurant's buffet or set menus. In general, beverages are not included, unless specifically stated. Dietary requests and preferences should be provided at the time of booking. Although Safari4Africa cannot make any guarantees, every effort will be made to honour special dietary requests. We recommend that the tour member also makes their dietary requests known to their guide / tour manager at the start of each tour or safari, and on arrival at each hotel / restaurant.




All Safari4Africa small group touring vehicles allow for one piece of luggage per person similar to a checked bag, as per general economy class international flight limitations with a maximum weight of 23 kg (50 lbs), plus a carry-on bag and handbag, with the exclusion of golf tours where a further golf bag per golfer is permitted. Checked luggage is limited to a soft bag with a maximum weight of 15 kg (33 lbs) on all our tours or safaris that include charter flights. The tour operator will not be responsible for loss or damage to luggage and personal belongings. The tour member must report any loss or damage immediately at the time of the incident and obtain a written report from the local authority for submission to their insurance provider.


Itinerary & Sightseeing


Please take note that some itineraries may have days that require an early morning starting time for sightseeing purposes in order to complete the touring during daylight hours or to avoid afternoon heat in tropical and desert climates.


Safari4Africa tour or safari itineraries have been carefully crafted to include as much sightseeing as possible without creating hectic daily schedules. However, it is important for the tour member to understand that punctuality is their responsibility. Arriving late may be considered a "no-show", in which case the tour member will not be eligible for refund for the unused service(s).


On dates including, but not limited to religious holidays and national celebrations, some monuments and places of interest may be closed.


Occasionally, during holidays and certain periods, and / or due to unforeseen circumstances including weather conditions there may be last minute changes, which may affect the sequence of a tour or safari. If necessary, the tour operator reserve the right to adjust the sequence of a tour or safari. In such cases there will be no cost adjustment.


National monuments and tourist sites regularly undergo renovations, which can obscure the monument's view. No tour will be cancelled due to renovations, however Safari4Africa will decide based on the conditions whether to amend an itinerary.


Safari4Africa itineraries may contain suggestions for tour members to participate in optional activities during their leisure time. These suggestions do not constitute an endorsement of any specific service provider and the decision to participate in any such activities should be made independently and with due consideration.


Airline Booking


All Safari4Africa tour and safari packages are based on land only prices and exclude international flights. The tour operator will not be responsible for penalties incurred due to schedule and / or flight changes for such air tickets.


Various Safari4Africa tour or safari packages include domestic and / or regional international flights. If so, the tour operator will take responsibility for penalties or costs incurred due to schedule and / or flight changes for such air tickets.


As a courtesy service, airline seat assignments for all included domestic and / or regional international flights will be requested on behalf of the tour member. However, please take note that some local airline carriers and / or fare types do not allow for pre-seating and require this be done at airport on check-in.


Some local airlines allow for one piece of luggage or a checked bag per person with a maximum weight of 20 kg (44 lbs), as well as one piece of carry-on baggage with a maximum dimension of 52 x 40 x 23 cm (± 20 x 16 x 9 inches) and weight of 8 kg (17.5 lbs). Checked luggage is limited to a soft bag with a maximum weight of 15 kg (33 lbs) on all our tours or safaris that include charter flights. The tour operator will not be responsible for costs incurred for tour members excess luggage.

Weapons are not permitted on any tour or safari including, but not limited to, firearms, knives, mace, brass knuckles, and other weapons of any type.


Smoking & Illegal Drugs


No Smoking of any kind (medical or recreational) is allowed on any transportation that is exclusively provided by Safari4Africa. This includes e-cigarettes, e-cigars or any other smoking device.


Travel Documents


It is each tour member’s responsibility to ensure that his / her travel documents, including passport, health and visa documents are in order prior to departure. Please refer to our “Travel Information & Tips” for more information on these matters.


Special Requests


Special requests must be advised at the time of the booking and confirmed by the tour operator in writing to the tour member. All special requests are subject to availability and may incur additional charges. Please note that any special request will not be binding and does not form part of the tour member’s contract.


Special Assistance


In order to fully enjoy a Safari4Africa tour or safari, we highly recommend that all tour members are mobile, as well as fit and able to travel through southern Africa. The tour operator regrets that we cannot accommodate walkers, wheelchairs, motorized scooters, etc on our touring vehicles. We have a huge selection of touring options available from which the tour member can select a package that is suitable to their physical capabilities. Tour members requiring any form of assistance, including travellers with physical disabilities, sight, hearing or mobility impairments are required to notify the tour operator prior to booking a tour or safari. The tour operator will review the tour requirements with the tour member in question to either determine if the level of assistance required can be supplied or if the tour member may not join such a trip. On approval, the tour member requiring assistance must be accompanied by a companion who is capable of and fully responsible for providing the assistance. The tour operator reserves the right to reject participation or remove any individual from a tour or safari in the event that notification was not provided and / or when, in the tour operator’s sole judgment, continued participation would significantly hinder the services to be provided to all guests. Expenses, including cancellation fees and / or costs for alternate travel plans or to return home, will be the responsibility of the tour member. All unused services are non-refundable.


Service Animals


Service animals cannot be accommodated on any of Safari4Africa tours or safaris.




Tipping of local guides and in restaurants, bars, hotels, etc is standard practice in Southern Africa. Please refer to Safari4Africa “Travel Information & Tips”.



Emergency Contact Details


It is recommended that the tour member provide emergency contact details prior to travel. The reason we collect this information is to be able to get in contact with family or friends in the rare case of an emergency.



Small Group Tour Harmony


To ensure a desired small group tour synergy, the tour operator reserves the right to accept, reject or expel any tour member who is deemed disruptive or incompatible with the interests of the touring group, including, but not limited to:


It being determined that the tour member in question is dangerous to other travellers or to themselves; the tour member in question has engaged in or threatening to engage in behaviour that may adversely affect the safety, security, well-being or enjoyment of other travellers; the tour member in question is intoxicated and / or under the influence of drugs; the tour member in question has failed or refuses to follow Safari4Africa tour or safari rules and procedures or the instructions of the tour operator’s employees or representatives.


Any expenses, including cancellation fees and / or costs for alternate travel plans or plans to return home, will be the responsibility of the tour member in question. All unused services are non-refundable.



Photographic Release


The tour operator may take photographs or videos of its trips. The tour members (trip participants) grant Safari4Africa permission to do so and for the tour operator to use the material for promotional or commercial use without payment of any compensation to the tour members (trip participants).





The law of South Africa shall govern the relationship between the tour operator and tour member, and the South African court of law shall have sole jurisdiction to any claims and / or disputes which may arise between the tour operator and tour member.
